2008 Payroll Tax Updates
Snapshot Reporting
This function works similar to a dashboard and will save you hours upon hours of time compiling data. You can look at your "Business Condition" for General Ledger, Accounts Receivable, Accounts Payable, Sales (Point of Sale and Order Entry) and Inventory with the click of a few buttons.
Each module provides different information along with charts and graphs, giving you options to select the specific information you are looking for. It will save your settings from the last time you entered so you don't have to set it up every time. Unless, of course, you are looking for different data.
There is no doubt that this feature will save you time and provide you with information critical to your organization. Here's a list of highlights of the information you can find on these reports and useful for taking to the bank.
- General Ledger: Print the financial data based on a period or date range along with a graph of the total net income/loss per period for the current fiscal year.
- Accounts Receivable: Print transaction totals, top 10 customers, top 10 delinquent customers along with a graph of the total receivables by period.
- Accounts Payable: Print the top 10 vendors, top 10 overdue items, next 10 upcoming items due and a graph of the total payables by period.
- OE/POS (Sales): Print the top 10 best selling items, worst selling items, most profitable items days for sales, weeks for sales, and the running/current sales in any open batches or registers, along with a graph of total sales by period.
- Inventory: Print the top 10 best selling items, worst selling stock items, fastest turnover items, slowest turnover items and under stock items along with a graph of your total inventory purchases by period.
- Payroll (post V12 release) Print the total payroll expense by department, your employees' vacation and sick leave totals, top 10 employees by total vacation, sick and other time used, along with grand totals of all and a graph of total payroll expenses by period.

System Wide File Maintenance
| You can now Reindex all files from the main menu. What a time saver! You no longer have to go into each module and reindex them individually. To make this feature even better you can tie it into the Automatic Backup feature. You can set the system backup to reindex prior to doing the backup. If you use the advanced options you can even stop the backup if errors are found in the reindex. A full Run Log is provided so you will know exactly where the problem is. |

Enhanced Date Block Range for Posting
Have you ever accidentally posted a check for the right day but the wrong year? In previous versions we allowed you to block postings to prior periods by setting this block. In Version 12 we have enhanced this feature to also block future periods from posting.
This allows you the option of blocking all postings in all modules for a specific period(s) within the fiscal calendar. You will receive an error message if you attempt to post a transaction that is outside of the date block range, i.e. posting to 2008 instead of 2007. |

Custom Reports Menu Enhanced
We have added more reports and enhancements to the custom reports menu that we started with the Version 11 release. With Version 12 you no longer have to worry about overwriting your custom reports during upgrades etc. You can now easily separate the custom reports from the originals by saving them elsewhere on your computer. In addition you now have the ability to create multiple custom reports, save them, and still keep the original. Also the following reports are now accessible from the custom reports menu:
- Accounts Payable: Dated Invoice/Payment, GL Expense Distribution and History reports.
- Accounts Receivable: Edit, Dated Invoice/Payment and History reports.
- Bank Reconciliation: Bank Register and Edit reports.
- General Ledger: Edit, Audit Trail, Trial Balance, Balance Sheet, Income Statement, Revenue & Expense (FUND only), Cash Flow, FASB (FUND only), American Red Cross (FUND & ARC only) Budget Performance and Budget Reports.
- Inventory: Promotional Sales report.
- Job Cost: Billing History, Profit Margin and Sales Tax reports.
- Order Entry: Invoice Tracking, Sales History, Price Variance, Sales Tax, promotional Sales, Profit Margin, Back Order Tracking and Back Order Fulfillment reports.
- Payroll: Edit, Print Checks, and Employee Benefit/Deduction reports.
- Point of Sale: Reprint Receipts, Sales History, Price Variance, Sales Tax, Coupon/Buy Down, Promotional Sales and Profit Margin reports.
- Purchase Order: Print POs/Reprint POs, Edit, Open Purchase Order, Expected/Late Items, Vendor Performance and History reports.

Edit Report Update - Account Impact Summary Report
This system-wide report allows you to see what effect the posting will have on your General Ledger accounts prior to the actual posting. This provides you with real-time information you need so that you actually see what your balances will be once you've posted and what you can expect - income, expenses, overall cashflow.
If any errors are found during posting, then this report will print the validation errors instead of the account impact which is very helpful if you have a large number of transactions to post. |

Financial Analysis Report
With Version 12 this report shows 3 years at a glance for comparison and analysis from a financial perspective within General Ledger. This report uses the totals stored in the period file and is available until you purge it.
Banks, financial institutions and businesses often ask questions such as, "How is my business doing?;" or, "How healthy is my business?." To help answer these types of questions various standard metrics have evolved over the years. Criteria like Current Ratio, Quick Ratio, Return on Assets (ROA), and Return on Inventory (ROI) are used to evaluate a company's health. Banks often use this information to make decisions about providing business loans, and investors rely on this information to make sound decisions about businesses to invest in.
By establishing these metric/criteria standards of measuring the health of a business allows you to have the ability to compare your business with others in your industry. Even if you don't need to provide this information to a bank and investors you can use it to keep track of how successful your business is and pinpoint areas to improve. Common-Size Reports
Your Balance Sheet and Income Statements have been updated, the layouts refined and a NEW option, Common- Size Reports, has been added. These reports are incredible tools for showing your financial position, or when trying to get credit for your business by showing comparisons from this year to last year or for specific periods within the years. You can even see how your business measures up within your industry.
In Version 12 a Common-Size Report essentially takes your financial information, breaks it down as a percentage of an established base and views them in a Common-Size Balance Sheet or Income Statement within General Ledger.
In order to compare yourself within your industry, an additional option of Common Size is available for selection in the Report Type field. When you select this report type, a new Financial Reports Code field appears in which you can enter or use the Lookup to select a code to include preset industry averages on the report. These new reports are beneficial because you can compare two years of financials along with the industry averages, which might help you analyze your financial status. |

General Ledger Financial Report Codes
Compare your financial status with your own business target goals or within your industry. Use these codes to include the defined values under the Industry Averages column in the Common-Size Reports or Financial Analysis Report. You define the values in the column. You can input your own target goals or industry figures or your competitor.
Although these comparisons are often used by investors and financial institutions to evaluate a business, they can give you a good idea of how you compare to others in your industry, to look for areas you should be able to improve, or for areas you are exceeding your closest competitors. |

General Ledger Spreadsheet Export
Version 12 has been enhanced to include the Account Filters and the Advanced Filters. Now it is even easier to get specific data from your general ledger out to your spreadsheet.
This feature can be a great time saver as well as reducing the 'human error element.' Instead of exporting all account information to Excel and then filtering that information you're really looking for, this new feature allows you to first fine tune your exports and hone in on the information you need right within GL before exporting. Also, if you have more than one company, you can consolidate the ledgers into one export by selecting the Print Consolidated Ledgers check box. |

Set Default Printing of Account Numbers on GL Reports
| A new option in GL module preferences allows you to set the "Print Account Number" as a default to use on reports. If you enable this check box, when you run the balance sheet, income statement or budget report, the general ledger account numbers are automatically included. This option is also available directly in certain reports, such as the Income Statement. |

Use Additional Report Groups in General Ledger
| In conjunction with the new GL Financial Analysis, GL Common-Size Income Statement, and GL Common-Size Balance Sheet reports, there are now additional report groups you can use to track your general ledger accounts. When you create or modify your general ledger accounts, you can assign report groups on the General tab of the GL Master Accounts window. You can also select one of the new options from the Classified drop-down list in the Set Up GL Account Groups window to set up groups for specific reporting purposes. The new report group options include: All Other Non-Current (Other Assets), Deferred Taxes (Long Term Liability), All Other Non-Current (Long Term Liability), Interest Expense (Expenses) and Amortization (Expenses). |
View Date Ranges on Budget Reports
| With Version 12, when you run a Budget Report in General Ledger, you will notice two new date ranges included in the header section of the report. These date ranges include the current and year-to-date ranges for which the report data spans. Because these reports provide a view of both the current and year-to-date balances for both actual and budget amounts, the inclusion of these date ranges is beneficial to anyone reviewing the report data. |

View Improved Reports in General Ledger
Cougar Mountain made several changes to the layout and design of the Balance Sheet, Income Statement, and Audit Trail Reports in General Ledger to make them more consistent and readable.
In addition when you set up the GL Audit Trail Report to print, you will notice a few new options from which to choose. You can now skip accounts with zero balances, group the activity by module or print the report in landscape view (though a laser printer is required for this viewpoint). |

Running Balance added to the GL Audit Trail
| A new landscape version of the audit trail now includes a running balance column. With this additional figure you can more easily get the information you need and compare any transactions posted to an account with the balance at the time it was posted. |
Post Date Added to the General Ledger Audit Trail Report
The GL Audit Trail Report has two new report types. Detailed Landscape and Single Line Landscape. These reports can be grouped by module (posted from) and a new field has been added for post date. So now even if an entry was registered on 1/31/2007 but the entry wasn't made until 3/15/2007, it would show a post date of 3/15/2007. This is a great tool for auditing entries and trying to determine when something occurred.
This feature will only work with data entered after Version 12 is installed. Therefore any transactions posted prior to installing V12 will reflect (****) in the Post Date report, and the Posting Reference field will be blank. |

| Here's a great time saver! The ability to print a statement right from the customer master screen. Now when a client calls in you have access to a statement in AR in a matter of seconds. You can now print customer statements directly from the AR Customers window. This new feature helps you simplify the process when you need to print, or reprint, one statement or you need to closely monitor a single customer's account. |

Unapplied Payment Transaction Types
Do you need to cut a check to a vendor before the bill is posted? Do you allow customers to pay for an invoice before the vendor bill is posted? You've been asking and we finally listened. Now you can pre-pay a vendor as an unapplied payment and assign it to a specific invoice later by entering unapplied payment transactions directly in Accounts Payable. It works nearly the same as a debit memo but is a nice time saving feature and you don't have to worry about it being applied to the wrong invoice!
This new feature allows you to apply the payment to the proper transaction instead of the first invoice posted. Once the unapplied payment transaction is saved, it will appear as an UN Payment type in the AP Open Item Lookup window, Aging and History tabs of the AP Vendors window until posted. |
